1. Information We Collect
When you use Routeless, we collect information you provide directly to us, including:
- Contact information (name, email, phone number)
- Social media handles and website URLs
- Business information you share in forms
- Communication preferences
We also automatically collect certain information when you visit our site:
- Device and browser information
- IP address and location data
- Pages visited and time spent
- Referring URLs and UTM parameters

We use the information we collect to:

- Communicate with you about our services, account activity, applications, onboarding, project updates, support requests, and, where permitted, product updates or events

Free Radar Report Emails
When you ask us to email a free Radar report, we send the requested report and up to three follow-up emails over the next eight days explaining competitor tracking, Facts Watch, weekly monitoring, and GA4 traffic analysis. When you request an agency walkthrough, we send the booking link and up to three agency-specific Agency Launch follow-ups over the same period. Every promotional follow-up includes one-click unsubscribe. Unsubscribing does not disable requested reports, sign-in links, receipts, or account and service alerts. Free-report delivery addresses are removed from the follow-up and delivery ledgers after 90 days; a one-way hash may remain to honor an unsubscribe, bounce, complaint, or deletion request.
3. Messaging Privacy (SMS, WhatsApp, and Instagram)
Instagram and Meta Platform Data
Businesses using Routeless can connect their Instagram professional accounts so that our platform receives and responds to direct messages and comments on their behalf, including AI-assisted replies. When you message or comment on a connected Instagram account, we receive and store the content of that interaction, your Instagram username and Instagram-scoped identifier, and related metadata, solely to operate the conversation and create inquiry records for that business.
We honor Meta platform controls: if you unsend a message on Instagram, our stored copy is redacted automatically; you can opt out of automated messages at any time by replying STOP (and opt back in with START); and a human representative of the business can take over any conversation from our automated assistant. Instagram access credentials are stored encrypted and are deleted when a business disconnects its account. We do not sell Instagram data or use it for advertising. SMS Messaging
Routeless may collect your phone number and SMS opt-in consent when you choose to receive service-related SMS text messages. We use this information only to send transactional and service-related messages you have requested, such as website request confirmations, onboarding updates, project updates, scheduling reminders, meeting reminders, account notifications, payment notifications, and customer inquiry alerts related to your own business.
Routeless does not sell, rent, share, or transfer SMS opt-in consent or mobile phone numbers to third parties or affiliates for marketing or promotional purposes. SMS opt-in consent and mobile phone numbers are used only for the messaging services described in this policy.
You can opt out of SMS text messages at any time by replying STOP. You can reply HELP for help. Message frequency varies. Message and data rates may apply.
WhatsApp messages require separate opt-in and are managed separately from SMS text messages. For full details on how recipients opt in, see our Routeless Messaging Policy page.
4. Information Sharing
We do not sell, trade, or rent your personal information to third parties. We may share information with:
- Service providers who assist in our operations (e.g., CRM, analytics)
- Professional advisors (lawyers, accountants)
- Authorities when required by law
SMS and WhatsApp Messaging Consent
If you provide your phone number and opt in to receive SMS or WhatsApp messages from Routeless, we use that information only to send service-related messages you have requested or agreed to receive.
We do not sell, rent, share, or disclose SMS or WhatsApp opt-in consent data, phone numbers, or messaging preferences to third parties or affiliates for their marketing or promotional purposes.
We may share phone numbers and messaging-related data with service providers, such as Twilio or other messaging platforms, only as necessary to deliver messages, manage opt-outs, provide support, and operate our services.
5. Third-Party Services
Our services may integrate with third-party platforms including:
- GoHighLevel (CRM)
- Calendly (scheduling)
- Twilio (messaging)
- OpenAI (AI processing)
- Zoom (video conferencing)
- Cloudflare Turnstile (bot protection)
Each of these services has its own privacy policy governing their use of your data.
Public forms on our sites (including free scans and agency inquiries) are protected by Cloudflare Turnstile, which runs invisibly — no puzzle appears. Turnstile evaluates technical signals (such as IP address and browser characteristics) solely to distinguish people from bots; it does not identify or profile you. Its processing is described in Cloudflare's Turnstile Privacy Addendum.
6. Data Security
We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction.
For client systems that handle protected health information (PHI), confidential legal intake, or other sensitive records, the applicable safeguards are defined in the project scope and may include data minimization, encryption in transit and at rest, least-privilege or role-based access, audit logging, and documented retention and deletion. HIPAA obligations may also require Business Associate Agreements (BAAs) with Routeless or other vendors. We do not represent every website, form, or third-party integration as HIPAA compliant by default; compliance depends on the complete system, vendor agreements, configuration, and the client's operating practices.

You have the right to:

- Request deletion of your data
- Opt out of marketing communications
- Export your data
